Guidelines for Users and Visitors

 

UT Students conducting class related research.

                     Teaching faculty and teaching assistants who wish students in their classes to have access to the Field Stations need to learn the site and keep up to date with ongoing research and station activities so they can personally orient students and consult about projects on location.   Before coming with a group of students, Contact the Resident Manager to coordinate access.

                     Students are welcome to undertake independent unsupervised studies subject to an initial review and orientation  by their class faculty. If a Field Station site is deemed appropriate, the students have been well-oriented to the site, and class faculty have been consulted about their projects, then the student must submit a Student Access Request form countersigned by the faculty member. This form is required before the Field Station staff will admit students to conduct independent unsupervised studies.  You can download the form here.

                      All students must check in with the Resident Manager when arriving and departing from the field. All traces of activity must be removed from site on completion of the study, including flags, tags and surplus equipment.

UT Students, Staff & Faculty researchers. 

           Any UT person intending to conduct long term research at the Field Stations must first submit a “Research Activity Request” Form, which can be downloaded here.  Space will be assigned at the discretion of the Director, for a fixed period of time, after which all equipment must be removed and the site restored to initial conditions. Use of common resources such as greenhouses and experimental gardens will be determined by the Director. Priority will be given to funded projects that include overhead return to the Field Station ORU.  The Director will issue keys to the property. The researcher must satisfy the Director that appropriate safety training and supervision will be provided for any short term staff or student helpers.

UT Students, Staff & Faculty volunteers. 

          These are Director will provide written permissions, job descriptions, training requirements, keys, safety equipment and supervision to those who provide volunteer services around the field stations.  All Volunteers must report to the Manager before going into the field.

  Members of the public, serving as volunteers for more than 1 week. 

           Volunteers on outdoor service projects, outreach docents, and research assistants in a lab must have Volunteer Appointments with 0% time HRMS appointment with no benefits. Standard appointment documentation including CV and background checks are needed.  These volunteers must undergo general safety and site orientation training and are entitled to UT privileges (keys, lab access, library, EID, UT wifi, parking permits). They are not allowed to drive UT vehicles or use the lab Procard, and must seek prior approval of the BFL Director. They must also sign waivers (contact Director for Visitor doc package) and report to the Manager before going into the field.

Public day visitors within lab building area. 

           Visitors must report to a Field Station Faculty/Staff person and provide identification if requested.

Public Day Visitors and Volunteers in the field site, beyond the lab building area. 

           Only invited guests allowed. Guests must have prior approval of the Director and need to sign waivers (contact Director for Visitor doc package). They are not allowed access to UT privileges (keys, lab access, library, EID, UT wifi, parking permits, Procard) and a UT faculty/staff member must always be present.

Contractors.   

           Contractors on long term construction projects may be issued Gate and Room keys to be returned at the end of the project. Contractors will be given rules applicable to their particular project concerning site access, times of work, use of services and safety matters.

Visiting Research Fellows. 

           This category applies to independent researchers rather than volunteers in a lab.  The hosting Faculty sponsor needs to apply for an HRMS appointment with 0% time, no benefits, and a maximum appointment of 2 years.  Research fellows must have at least 3 years post-PhD research experience.  Documentation required: CV, job description, government ID, background check, research description & benefit to UT. They should also sign waivers (contact Director for Visitor doc package), have a Faculty sponsor and all relevant safety training.  They are entitled to UT privileges (keys, lab access, library, EID, UT wifi, parking permits), but are not allowed to drive UT vehicles.

Visiting Scholars.  

           These visitors are affiliated with an external institute, such as someone on sabbatical, or conducting short term research. The hosting Faculty sponsor needs to apply for an HRMS appointment with 0% time, no benefits, and a maximum appointment of 2 years.  They must have a BS degree or higher. Documentation required: CV, job description, government ID, background check, research description & benefit to UT. They must sign waivers (contact Director for Visitor doc package), have a Faculty sponsor and all relevant safety training.  They are entitled to UT privileges (keys, lab access, library, EID, UT wifi, parking permits), but are not allowed to drive UT vehicles.

Visiting Students (High School). 

           Includes summer students.  The hosting Faculty sponsor needs to apply for an HRMS appointment with 0% time, no benefits, and a maximum appointment of 1 year.  Documentation required:  CV, job description. They must sign waivers (contact Director for Visitor doc package), have a Faculty sponsor and all relevant safety training. They are entitled to UT privileges (keys, lab access, library, EID, UT wifi, parking permits), but are not allowed to drive UT vehicles.

Research Affiliate (Postdoctoral). 

           Recent PhD graduate (within 3 years), self-funded or independently funded by a 3rd party institute. The hosting Faculty sponsor needs to apply for an HRMS appointment with 0% time, no benefits, and a maximum appointment of 1 year.  Documentation required: CV, job description. Needs to sign waivers (contact Director for Visitor doc package), have a Faculty sponsor and all relevant safety training. They are entitled to UT privileges (keys, lab access, library, EID, UT wifi, parking permits), but are not allowed to drive UT vehicles.

 

Rules of Use

 

Collecting specimens at Field Stations 

Always check with the Director to find out areas or species that are presently being studied by other researchers.  Unusual records should be reported to the Director.  All specimens and data belong to UT, although specimens may be taken for educational or research purposes with permission. Provide get detailed lists of species, abundances, habitats, localities.  We expect this report within 12 months.

Large charismatic species of flowers, butterflies, dragonflies etc should not be collected at the Field Stations.  Avoid over-collecting insects at flowers, and do not damage flowers.   

General rules for Stengl

Access must be arranged with at least 24 hours’ notice to the Resident Manager. In general vehicles are restricted to the parking area at the Wyer lab, unless otherwise agreed.  No vehicle access is permitted offroad.  

No fires allowed, any time, any place, including camp stoves.  This is an extremely important, non-negotiable restriction since the area is at high risk of fire.

Your activities should have low impact, be noise-free, and leave no trace.  

You should be prepared for the remote nature of the field station, and carry a first aid kit, water, a cell phone and contact numbers of UT managers.  Dress according to seasonal weather.  Before proceeding to the field, each day you must check for weather conditions and fire risk.  Do not proceed on red flag days.  Send a text message or leave a note at the lab building stating your route and check in time.

Commercial use or activities are not allowed.

We only have limited staff based at the field station and they are not available on the weekends or after hours, apart from real emergencies.

A user fee structure will be implemented by mid 2017.  Please contact the Director for details.

 

Indemnity and Agreement

 

By entering the site you agree that UT has no liability for damage or injury to your person or property.  You also agree to abide by all UT policies (including prohibitions on alcohol, tobacco and misconduct), to the site specific policies detailed here, and to instructions given by UT supervisory personnel.
